Effective Date: November 2026 • Last Updated: October 2026
1. Introduction & Product Scope
This Refund & Cancellation Policy governs subscription cancellations, refund assessments, payment reversals, and renewal terms for all products and institutional services provided by Unite Nexus Private Limited under the brand Unite India.
This policy applies across the entire Unite ecosystem, including Unite One, Unite ERP, Unite Attendance, Unite Admissions, Unite App, Unite Websites, Unite Docs, Unite Fees/Finance, and Unite Office.
2. General Refund Principles
Because Unite delivers enterprise cloud software, dedicated server allocations, database migrations, and institutional onboarding upon activation, subscription payments are generally non-refundable once the contracted subscription period has commenced or implementation has been initiated.
Voluntary non-usage, changes in internal school administration, or a Customer's unilateral decision to cease platform operations does not qualify for retroactive pro-rata refunds. However, Unite reviews every legitimate claim in accordance with the statutory exceptions below.
3. Guaranteed Refund Exceptions
Unite guarantees immediate review and appropriate full or partial reimbursement under the following verified circumstances:
- Duplicate Billing: Where an identical invoice or subscription charge has been processed and debited more than once due to network retransmission or gateway retries.
- Failed Transaction Debit: Where funds were deducted from the Customer's bank account or corporate card, but the subscription failed to activate or was dropped upstream by the payment gateway.
- Verified Technical Billing Error: Where an invoice calculation or tax error resulted in an overcharge exceeding the accepted Order or MOU amount.
- Statutory Entitlement: Where a refund or contract rescission is expressly required under applicable Indian consumer protection or commercial laws.
4. Digital Service Delivery & Activation Policy
Unite Nexus Private Limited provides enterprise cloud software, digital school portals, progressive web applications, and institutional SaaS modules. We do not dispatch physical tangible merchandise.
Delivery & Fulfillment Timeline: Service delivery is executed electronically. Following confirmed payment receipt, institutional database provisioning, ERP portal activation, and administrative credentials are transmitted to the Customer's registered administrator email address within twenty-four (24) to forty-eight (48) hours.
5. 7-Day Free Trial Terms
Unite offers a complimentary seven (7) day trial for accredited schools and educational trusts. The trial allows institutions to evaluate features with zero financial obligation.
Free trials do not automatically roll into non-consensual paid debits. Institutions that choose not to proceed upon trial expiration may simply notify their account specialist; no charges will be levied.
6. Subscription Cancellation Procedure
Customers desiring to terminate an active subscription must submit an official written cancellation request from the registered institutional email address to accounts@unitenexus.in.
The cancellation notice must contain:
- Registered Institution Name & School Code.
- Authorized Administrator contact email and phone number.
- Invoice Number or Transaction Reference ID.
- Specific reason for subscription termination.
Cancellation stops future recurring cycles. The institution will continue to retain access to the Services until the conclusion of the already-paid subscription term, after which access transitions to read-only archive mode for data export.
6. Annual, 3-Year & 5-Year Institutional Contracts
Long-term multi-year contracts (Annual, 3-Year, and 5-Year tiers) are executed on custom negotiated commercial terms and volume discounts. Multi-year contracts require manual renewal coordination. In the event of mid-term institutional closure or restructuring, commercial adjustments are governed strictly by the bilateral MOU executed between the institution and Unite Nexus Private Limited.
7. Refund Processing & Disbursement Timelines
Once a refund request is verified and approved in writing by Unite Accounts:
- Acknowledgement: Refund requests are acknowledged within three (3) business days.
- Initiation: Approved refunds are initiated within seven (7) to ten (10) business days through the original mode of payment (Razorpay payment gateway reversal or direct NEFT/RTGS bank transfer).
- Bank Reflection: Depending on the Customer's issuing bank (SBI, HDFC, ICICI, etc.) and clearing cycles, the credited funds typically reflect in the source account within 5 to 7 additional banking days following gateway initiation.
8. Implementation, Onboarding & Setup Charges
Where an institutional Order includes separate professional services—such as on-site hardware biometric installation, legacy database migration, custom PWA theme deployment, or physical teacher training—fees for professional services that have already been executed are strictly non-refundable.
